Allybi Cookie Policy

Effective Date: April 30, 2026 · Version 2.0

This Cookie Policy explains how Allybi uses cookies and similar technologies to recognize you and enhance your experience when you use our services.

1. Introduction

This Cookie Policy explains how Allybi (operated by Camasmie Gillet Inc., a Delaware corporation) uses cookies and similar technologies to recognize you and enhance your experience when you use our website, mobile application, and services (collectively, the “Allybi Service” or “Platform”). We are committed to transparency about our cookie practices and providing you with meaningful choices about how your information is collected and used.

This Cookie Policy works in conjunction with our Privacy Policy and Terms of Service to provide a comprehensive framework for understanding how we handle your information. If you have questions about our privacy practices generally, please refer to our Privacy Policy. This Cookie Policy specifically addresses our use of cookies and similar tracking technologies.

By using the Allybi Service, you consent to our use of cookies as described in this Policy, subject to your cookie preferences and the controls available to you. We encourage you to review this Policy carefully and adjust your cookie preferences according to your privacy preferences and functional needs.

2. What Are Cookies and Similar Technologies

Cookies are small text files that are stored on your device (computer, tablet, or mobile phone) when you visit a website or use an application. These files contain information that allows websites and applications to recognize your device and remember information about your interactions and preferences.

2.1 Types of Tracking Technologies

Beyond traditional cookies, we use several related technologies to collect and store information about your interactions with the Allybi Service:

Web Beacons and Pixel Tags are small, transparent images embedded in web pages and emails that allow us to track whether you have viewed specific content or interacted with particular messages. These technologies help us understand user engagement and optimize our communications.

Local Storage and Session Storage are browser-based storage mechanisms that allow us to store larger amounts of data on your device than traditional cookies permit. These technologies enable us to maintain your preferences and application state across sessions.

Software Development Kits (SDKs) are code libraries integrated into our mobile applications that enable tracking and analytics functionality similar to web-based cookies. SDKs allow us to understand how you use our mobile application and provide a personalized experience.

Application Programming Interfaces (APIs) We may use APIs to facilitate data sharing with connected sources you authorize, subject to your consent and our data protection practices.

2.2 Cookie Duration and Scope

Cookies can be classified by their duration and scope of use:

Session Cookies are temporary cookies that are automatically deleted when you close your browser or end your session with the Allybi Service. These cookies are essential for maintaining your login status and ensuring the security of your account during your active use of the Platform.

Persistent Cookies remain on your device for a specified period of time, ranging from days to years, even after you close your browser. These cookies allow us to remember your preferences and settings across multiple visits to the Allybi Service.

First-Party Cookies are set by the Allybi Service directly and are used to provide core functionality and remember your preferences. These cookies are essential for delivering the features and services you expect from our Platform.

Third-Party Cookies are set by third-party service providers, analytics companies, and advertising networks that work with Allybi. These cookies may be used for analytics, advertising, and other purposes as described in this Policy.

5. Third-Party Cookies and Services

The Allybi Service integrates with various third-party services and providers that may set their own cookies and use similar tracking technologies. Understanding these third-party relationships helps you understand the full scope of cookie usage across the Platform.

5.1 Third-Party Cookies

Third-party cookies are set by service providers, analytics companies, advertising networks, and other partners that work with Allybi. These cookies are governed by the privacy policies of the respective third-party providers and may be used for analytics, advertising, and other purposes.

When you use the Allybi Service, third-party providers may set cookies to track your interactions with their services. These third-party cookies are governed by the privacy policies of the respective providers, and we encourage you to review their policies to understand how they use your information.

We carefully evaluate third-party providers to ensure they meet our standards for privacy protection and data security. However, we encourage you to review the privacy policies of any third-party services you choose to integrate with Allybi to understand how they handle your information.

5.2 Content Delivery and Performance

We use content delivery networks (CDNs) and other infrastructure providers to deliver content efficiently and optimize Platform performance. These providers may set cookies to track performance metrics and optimize content delivery.

CDN cookies are typically classified as functional or strictly necessary, depending on their specific purpose. Performance optimization cookies that improve loading times are considered functional, while cookies essential for basic content delivery may be classified as strictly necessary.

6. Integrations with Third-Party Services

Allybi enables you to connect with popular business tools and cloud services to enhance your productivity and streamline your workflows. These integrations may involve cookies and tracking technologies specific to the integrated services.

6.1 Slack Integration

Slack is not currently available as a standard integration. If enabled in limited beta or future versions, Allybi will disclose the scopes, data use, retention, and deletion terms before connection.

6.2 Gmail Integration

Gmail integration is currently marked as coming soon. When Gmail is enabled and you connect your Allybi account to Gmail (Google Workspace), we collect and process data from your email account to enable search, summarization, Q&A, and analysis features within Allybi.

Data Categories: Email headers (to/from/cc/bcc/date), subject lines, email bodies, labels/folders, and attachments (if authorized).

Purpose: Enabling search, summarization, Q&A, and analysis of your emails and attachments within Allybi.

User Control: You can connect or disconnect your Gmail integration at any time through your Allybi account settings. When you disconnect, access to new Gmail data stops immediately. Disconnecting stops new access. Previously imported content remains until you delete it or retention rules apply. Gmail and Google Drive are not treated as live integrations unless enabled.

6.3 Outlook and Microsoft Integration

When you connect your Allybi account to Outlook or Microsoft 365, we collect and process data from your email and potentially calendar to enable search, summarization, Q&A, and analysis features within Allybi.

Data Categories: Email headers and content, mailbox metadata, and calendar/event data (only if you authorize calendar access).

Purpose: Enabling search, summarization, Q&A, and analysis of your emails and calendar data within Allybi.

User Control: You can connect or disconnect your Outlook/Microsoft integration at any time through your Allybi account settings. When you disconnect, access to new data stops immediately. Disconnecting stops new access. Previously imported content remains until you delete it or retention rules apply.

6.4 OneDrive and SharePoint

When you connect OneDrive or SharePoint, Allybi may access selected files, folders, and metadata to enable import into your workspace.

6.5 WhatsApp Handoff

Allybi stores WhatsApp contacts and message drafts for review-before-send handoff. Allybi does not sync WhatsApp messages or send automatically.

7. Detailed Cookie Inventory

The following comprehensive table provides detailed information about each cookie and similar technology used by the Allybi Service. This inventory is regularly updated to reflect changes in our Platform and ensure accuracy of the information provided.

8. Your Cookie Choices and Controls

We believe that you should have complete control over your cookie preferences and the ability to customize your Allybi experience according to your privacy preferences and functional needs. We provide multiple mechanisms for managing your cookie choices, and we respect your decisions by implementing your preferences immediately and maintaining them across your interactions with our Platform.

8.1 Cookie Preference Center

Our comprehensive cookie preference center provides granular control over different categories of cookies used by the Allybi Service. You can access the preference center at any time through the cookie banner that appears when you first visit our Platform, through a link in our website footer, or through your account settings within the Allybi Platform.

The preference center allows you to accept or decline different categories of cookies independently. You can choose to accept strictly necessary cookies (which cannot be disabled) while declining analytics and marketing cookies, or you can customize your preferences for each category based on your specific needs and privacy preferences.

When you make changes to your cookie preferences, those changes are implemented immediately and apply to all future interactions with the Allybi Platform. Your preferences are stored in a preference cookie that remembers your choices across sessions and devices when you are logged into your Allybi account.

The preference center provides clear descriptions of each cookie category, explains what information is collected and how it is used, and describes the benefits and functionality that may be affected by your choices. This information helps you make informed decisions about your cookie preferences.

8.2 Browser-Based Cookie Controls

All modern web browsers provide built-in controls for managing cookies, and you can use these browser settings to control cookie behavior across all websites you visit. Browser controls provide a universal way to manage cookies, though they may be less granular than our preference center for specific cookie categories.

Most browsers allow you to block all cookies, accept only first-party cookies, or prompt you before accepting each cookie. You can also delete existing cookies from your browser, though this may affect your experience on websites that rely on cookies for functionality.

Browser settings for cookie management are typically found in the privacy or security sections of your browser’s settings menu. Each browser has slightly different options and terminology, but common controls include the ability to block third-party cookies, delete cookies when you close your browser, and manage cookies on a site-by-site basis.

While browser controls provide broad cookie management capabilities, using our preference center in addition to browser settings gives you the most precise control over your Allybi experience. Our preference center is specifically designed to work with the Allybi Platform and provides detailed information about how different cookie choices affect Platform functionality.

8.3 Mobile Application Controls

If you use the Allybi mobile application, you can manage tracking preferences through your device’s privacy settings and through in-app preference controls. Mobile devices provide system-level controls for limiting tracking and managing app permissions that complement our in-app preference options.

iOS devices provide “Limit Ad Tracking” settings that affect how apps can use your device identifier for advertising purposes. Android devices provide similar controls through “Opt out of Ads Personalization” settings. These system-level controls work in conjunction with our in-app preference settings to give you comprehensive control over tracking and personalization.

Within the Allybi mobile application, you can access cookie and tracking preferences through the app settings menu. These preferences are synchronized with your account, so changes you make in the mobile app will also apply to your web browser experience and vice versa.

8.4 Third-Party Opt-Out Tools

For third-party cookies used by analytics and advertising services, you may also have the option to opt out directly through those services’ own preference centers and opt-out tools. These tools provide additional control over how third-party services track your activity across different websites and applications.

Google Analytics provides an opt-out browser add-on that prevents Google Analytics from collecting data about your website visits. This opt-out applies across all websites that use Google Analytics, not just the Allybi Platform.

Industry organizations such as the Digital Advertising Alliance and Network Advertising Initiative provide opt-out tools that allow you to opt out of interest-based advertising from multiple companies at once. These tools can be useful if you want to limit advertising tracking across the web.

8.5 Account-Based Preference Management

When you have an Allybi account, your cookie preferences are associated with your account and synchronized across devices and browsers where you are logged in. This provides a consistent experience and ensures that your preferences are maintained even when you access Allybi from different devices or browsers.

Account-based preference management also allows us to provide more sophisticated preference options, such as the ability to set different preferences for different types of content or features. For example, you might choose to allow analytics cookies for Platform improvement while declining marketing cookies for personalized communications.

Your account settings include a comprehensive privacy dashboard where you can review and modify all privacy-related preferences, including cookie settings, communication preferences, and data sharing options. This centralized approach makes it easy to understand and control all aspects of your privacy preferences within the Allybi Platform.

9. International Data Transfers

When you use the Allybi Service, your cookie data may be transferred to and processed in countries other than your country of residence. We want to ensure you understand how these transfers work and what safeguards we have in place to protect your information during international processing.

9.1 Transfer Mechanisms and Safeguards

Allybi operates with a global infrastructure designed to provide reliable, fast access to our Platform regardless of your geographic location. This infrastructure may involve processing your cookie data in the United States, European Union, and other jurisdictions where we maintain servers or work with service providers.

For transfers of personal data from the European Economic Area (EEA) to countries that do not have an adequacy decision from the European Commission, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) approved by the European Commission. These contractual protections ensure that your data receives an equivalent level of protection regardless of where it is processed.

When we work with third-party service providers who may process your cookie data, we ensure that appropriate data transfer mechanisms are in place. This includes requiring our service providers to implement adequate technical and organizational measures to protect your data and to comply with applicable privacy laws regardless of their location.

9.2 Data Localization and Regional Compliance

We recognize that different jurisdictions have varying requirements for data processing and storage, and we work to comply with applicable local laws while maintaining the global functionality of our Platform. Where required by law, we implement data localization measures to ensure that certain types of data remain within specific geographic boundaries.

For users in the European Union, we process cookie data in accordance with GDPR requirements and maintain appropriate records of processing activities. Our legal basis for processing, data retention periods, and user rights are designed to comply with EU privacy law regardless of where the technical processing occurs.

For users in California and other jurisdictions with specific privacy requirements, we ensure that our cookie practices comply with applicable local laws, including requirements for consent, disclosure, and user control mechanisms.

9.3 Cross-Border Data Protection

Our international data transfer practices are designed to maintain consistent privacy protection regardless of where your data is processed. This includes implementing uniform security standards, privacy controls, and access restrictions across all jurisdictions where we operate.

We regularly review our international data transfer practices to ensure they remain compliant with evolving privacy laws and international agreements. This includes monitoring changes in adequacy decisions, updating contractual safeguards as needed, and implementing additional protections when required by law or best practices.

When you use the Allybi Platform, you can be confident that your cookie data is protected by consistent privacy standards regardless of where it is technically processed. Our commitment to privacy protection extends across all jurisdictions where we operate.

10. Data Retention and Deletion

We retain cookie data only for as long as necessary to fulfill the purposes for which it was collected, comply with legal obligations, and provide you with the functionality and services you expect from the Allybi Platform. Our data retention practices are designed to balance functional needs with privacy protection and user control.

10.1 Retention Periods by Cookie Category

Strictly Necessary Cookies are retained for the minimum period required to provide essential Platform functionality. Session cookies are automatically deleted when you close your browser or end your Platform session. Persistent strictly necessary cookies are retained for specific periods based on their function, typically ranging from 24 hours for security cookies to one year for load balancing and infrastructure cookies.

Functional Cookies that remember your preferences and settings are retained for periods that balance convenience with privacy protection. Most functional cookies are retained for six months to two years, depending on the type of preference they store and how frequently those preferences typically change. You can delete functional cookies at any time through our preference center or browser settings.

Analytics Cookies are retained for up to two years to provide meaningful insights into Platform usage trends and long-term user behavior patterns. This retention period allows us to identify seasonal usage patterns, track the effectiveness of Platform improvements over time, and make data-driven decisions about long-term product development.

Marketing Cookies, when you have provided consent, are retained for periods ranging from six months to two years, depending on their specific purpose. Campaign tracking cookies may be retained for shorter periods, while preference cookies that remember your communication preferences may be retained for longer periods to ensure consistent communication experiences.

10.2 Automatic Deletion and Cleanup

We implement automated systems to ensure that cookies are deleted when their retention periods expire, when you withdraw consent, or when they are no longer needed for their original purpose. These automated processes help ensure that we don’t retain cookie data longer than necessary and that your privacy preferences are respected consistently.

When you withdraw consent for analytics or marketing cookies, we immediately stop collecting new data through those cookies and delete existing cookies of that type. When retention periods expire, automated cleanup processes delete cookies from our systems to ensure we maintain only the data necessary for current purposes.

11. Children’s Privacy and Parental Controls

The Allybi Service is primarily designed for professional and business use by adults. We take children’s privacy seriously and implement appropriate protections for any minors who may use our Platform.

11.1 Children’s Privacy Protection

We do not knowingly collect personal information from children under the age of 13 without verifiable parental consent. If we become aware that a child under 13 has provided personal information to our Service, we take appropriate steps to delete that information and notify the child’s parents or guardians.

We encourage parents and guardians to supervise their children’s internet usage and to contact us if they believe a child has provided personal information to our Service.

11.2 Parental Rights and Controls

Parents and legal guardians have the right to review, delete, and refuse further collection of personal information from their children. If you are a parent or guardian and believe that your child has provided personal information to Allybi, please contact us immediately using the contact information provided at the end of this Policy.

We will work with parents and guardians to address any concerns about children’s privacy and to ensure that any personal information collected from children is promptly deleted.

11.3 Educational and Family Use

While the Allybi Service is primarily designed for professional use, we recognize that some families or educational institutions may use our Platform for legitimate educational or family document management purposes. In such cases, we recommend that parents, guardians, or educational administrators maintain control over account creation and usage.

Educational institutions that use Allybi for legitimate educational purposes should ensure that their use complies with applicable laws regarding children’s privacy, such as the Children’s Online Privacy Protection Act (COPPA) in the United States and similar laws in other jurisdictions.

If you are an educational institution or family considering using Allybi for purposes that may involve children, please contact us to discuss appropriate privacy protections and compliance measures before beginning use of our Service.

12. Security of Cookie Data

We implement comprehensive security measures to protect cookie data and other personal information from unauthorized access, use, disclosure, alteration, and destruction. Our security practices are designed to meet industry standards and comply with applicable legal requirements for data protection.

12.1 Technical Security Measures

Cookie data is protected through multiple layers of technical security controls, including encryption, access controls, and secure transmission protocols. All cookie data transmitted between your device and our servers is encrypted using industry-standard TLS (Transport Layer Security) protocols to prevent interception and unauthorized access.

Cookies containing sensitive information, such as authentication tokens and session identifiers, are encrypted and signed to prevent tampering and unauthorized modification. We use secure cryptographic algorithms and regularly update our encryption methods to maintain protection against evolving security threats.

Our servers and infrastructure are protected by comprehensive security controls, including firewalls, intrusion detection systems, and regular security monitoring. Access to systems that process cookie data is restricted to authorized personnel who require access for legitimate business purposes and who have received appropriate security training.

12.2 Organizational Security Measures

We maintain strict organizational security policies and procedures that govern how cookie data and other personal information is handled by our employees, contractors, and service providers. All personnel with access to personal data receive regular security training and are bound by confidentiality obligations.

Access to cookie data is provided on a need-to-know basis and is regularly reviewed to ensure that access permissions remain appropriate. We implement role-based access controls that limit access to specific types of data based on job responsibilities and business requirements.

Our security policies include incident response procedures that ensure rapid detection, containment, and resolution of any security incidents that may affect cookie data or other personal information. We regularly test our incident response procedures and update them based on lessons learned and evolving best practices.

12.3 Third-Party Security Requirements

When we work with third-party service providers who may process cookie data, we require them to implement appropriate security measures that meet our standards for data protection. Our contracts with service providers include specific security requirements and regular security assessments.

We regularly review the security practices of our third-party providers and require them to notify us of any security incidents that may affect data we have shared with them. We also require service providers to implement appropriate access controls and to limit their use of our data to the specific purposes for which it was shared.

Third-party providers are required to comply with applicable privacy and security laws and to implement security measures that are appropriate for the types of data they process on our behalf. We regularly assess these requirements and update our contracts as needed to maintain appropriate protection levels.

12.4 Security Monitoring and Incident Response

We implement continuous security monitoring to detect and respond to potential threats to cookie data and other personal information. Our monitoring systems are designed to identify unusual access patterns, potential security breaches, and other indicators of security threats.

In the event of a security incident that may affect cookie data or other personal information, we have established incident response procedures that ensure rapid assessment, containment, and resolution of the incident. We will notify affected users and relevant authorities as required by applicable law and our internal policies.

Our incident response procedures include forensic analysis to determine the scope and cause of security incidents, implementation of additional security measures to prevent similar incidents, and communication with affected users about the incident and any steps they should take to protect themselves.

12.5 Regular Security Assessments

We conduct regular security assessments and audits to ensure that our security measures remain effective and appropriate for the types of data we process. These assessments include both internal reviews and third-party security audits conducted by qualified security professionals.

Our security assessments evaluate the effectiveness of technical controls, organizational policies, and third-party security measures. We use the results of these assessments to identify areas for improvement and to implement additional security measures as needed.

We also participate in industry security initiatives and stay current with evolving security best practices and threat landscapes. This ongoing education and engagement helps ensure that our security measures remain effective against current and emerging threats.

13. Updates to This Cookie Policy

We may update this Cookie Policy from time to time to reflect changes in our cookie practices, legal requirements, or business operations. We are committed to providing you with clear notice of any material changes and ensuring that you have the opportunity to review and understand how these changes may affect your privacy rights and cookie preferences.

13.1 Types of Updates

Updates to this Cookie Policy may include changes to the types of cookies we use, modifications to our legal basis for processing, updates to retention periods, or changes to third-party services we integrate with. We may also update the Policy to reflect changes in applicable privacy laws or to provide additional clarity about our practices.

Technical updates may be necessary when we implement new Platform features, integrate with new third-party services, or modify our infrastructure in ways that affect cookie usage. These updates will be reflected in our detailed cookie inventory and will include information about any new cookies or changes to existing cookie practices.

Legal and regulatory updates may be necessary to comply with new privacy laws, regulatory guidance, or court decisions that affect how we must handle cookie data. These updates will ensure that our practices remain compliant with applicable legal requirements and that we continue to provide appropriate protection for your personal data.

For material changes that affect your rights or significantly alter our cookie practices, we will provide at least 30 days’ advance notice before the changes take effect. This advance notice period gives you time to review the changes, adjust your cookie preferences if desired, and contact us with any questions or concerns.

Non-material changes, such as clarifications to existing language or updates to contact information, may be implemented without advance notice. However, we will always update the “Last Updated” date at the top of this Policy to indicate when changes have been made.

13.3 Consent for New Practices

If we introduce new cookie practices that require your consent, we will obtain that consent before implementing the new practices. This may involve updates to our cookie banner, new options in our preference center, or direct requests for consent through email or Platform notifications.

You will always have the option to decline consent for new cookie practices while continuing to use the Allybi Platform with your existing cookie preferences. We will not implement new practices that require consent without providing you with clear information about the new practices and the ability to make an informed choice.

13.4 Reviewing Updated Policies

We encourage you to review this Cookie Policy periodically to stay informed about our cookie practices and any changes that may affect you. The most current version of this Policy is always available on our website and through links in our Platform.
